Festival Dates

 

            Friday:              October 17, 2008        5:00 pm to 9:00 pm

            Saturday:          October 18, 2008        9:00 am to 5:00 pm

 

Vendors are welcome to begin setup on Friday at 9:00 a.m. All setup will be completed one (1) hour before the opening time on each day of the festival. Weather permitting, vehicles will be allowed onsite during setup. All vehicles will be off site one (1) hour before the opening time each day of the festival and will not be allowed back onsite until the close of that day’s festival. Vendors are responsible for security of their own items. No overnight security will be provided.

Food Vendor Fees & Guidelines

*Tents are Not provided for Food Vendors.

 

·        Adhere to Craven County Health Department rules and regulations. A copy of which is attached.  

·        Food Items

o       Vendors can serve a multitude of items; each item to be sold must be listed on the participation application and pre-approved by the festival committee. Approval is based on first request and payment of fees received will be the first request approved.

o       The festival committee will limit the number of vendors serving the same product to no more than three (3) locations onsite.

o       Vendors can have multiple sites at the festival by paying the designated fee for each site.

·        Site setup must be completed one (1) hour before the opening of the festival on each day.

·        Site cleanup surrounding the vendor’s site is required and is the vendor’s responsibility. Trash dumpsters will be available onsite.

·        A water spout will be available onsite.

·        No electrical power available.

·        No direct water source is provided.

·        Meeting

o       Information meeting – Friday, 8:00 a.m. at Havelock City Hall. Attendance is optional. Space assignments will be available at this meeting.

·        Business and organizations serving food and beverages assume all liability.

·        All booths will be staffed during festival operating hours on Friday 5 p.m. – 9 p.m. and Saturday 9 a.m. – 5 p.m.

·        Non profits must provide proof of non-profit status in accordance with NC State guidelines. Please attach a copy of certificate to application.

 

 

 

Application and fees due on or before:

 

            Friday, October 3, 2008

Any fees submitted after this date, are subject to a $35.00 late fee.

 

Interpretation of these guidelines is the responsibility of the Havelock Chamber of Commerce Board of Directors.  All decisions made by the Havelock Chamber of Commerce are final.

·        All vendors must adhere to all federal, state and local rules and regulations that apply to your business or organization.

·        All booths will be staffed during festival operating hours on Friday 5 p.m. – 9 p.m. and Saturday 9 a.m. – 5 p.m.

 

 

 

Non-Profit Information Vendors

 

·        10 foot by 10 foot space will be provided for “FREE”

 

*Tents are Not Provided for Non-Profit Information Vendors

 

·        You must provide your own Tent.

·        Political Parties are not considered FREE non-profit vendors.

·        This space is for distributing non-profit organization information “ONLY”.  No funds will be collected onsite. If your organization wishes to collect funds or sell items, you are welcome to rent a space under the merchandise vendor category.

·        All booths will be staffed during festival operating hours on Friday 5 p.m. – 9 p.m. and Saturday 9 a.m. – 5 p.m.
